Privacy Policy

This Privacy Policy explains what information the InvoiceMate mobile app and website (“InvoiceMate”, “we”, “us”) collect, how we use and share it, and the choices you have. InvoiceMate is an invoicing and quotation tool for freelancers and small businesses, operated by PAKMALLZ (SMC-PRIVATE) LIMITED, Office 21, 2nd Floor, Mall of Lahore, Tufail Road, Lahore Cantt, Lahore 54000, Pakistan.

Information we collect

  • Account information: your name, email address, phone number and password. Passwords are stored only as a secure hash, never in plain text.
  • Sign in with Google or Apple: if you choose one of these, we receive your name, email address and an account identifier from that provider. We do not receive your Google or Apple password.
  • Business information: your business name, address, phone, email, logo, tax and registration numbers, currency, and invoice settings.
  • Customer and product records: the names, phone and WhatsApp numbers, email addresses and addresses of your own customers, and the products or services and images you add.
  • Documents and payments: the invoices, quotations and payment records you create.
  • Subscription information: if you subscribe to Pro, the purchase token or transaction ID from Google Play or the App Store, so we can confirm your subscription. We never receive your card details.
  • Quick Invoice sentences: if you use Quick Invoice, the sentence you type or say (as text) and the invoice or payment you save from it. We keep these for 90 days to improve how Quick Invoice understands sentences, and your business keeps the names it learns for your own customers and products until you delete your account.
  • Team activity: if you work in a business with others, which team member created each invoice, quotation and payment, so the business can see who made each sale.
  • Push notification token: an identifier for the app on your phone, so we can send you notifications such as payments received. It is removed when you sign out or delete your account.

Device permissions

The app only asks for a permission when you use the feature that needs it, and you can refuse or withdraw it in your device settings:

  • Contacts: to import customers from your phone. Only the contacts you choose to import are sent to InvoiceMate; the rest of your address book never leaves your device.
  • Camera and photos: to add your business logo and product images.
  • Microphone: to let you speak a Quick Invoice. With Phone voice, your phone's own speech service (on Android, usually Google's) turns what you say into text and InvoiceMate never receives the audio. With AI voice, a short recording is sent through our servers to Groq to be turned into text (see "Third-party services").
  • Storage: to save invoice and quotation PDFs to your device.
  • Notifications: to alert you about payments, WhatsApp deliveries and overdue invoices. You can turn them off at any time in your device settings.

How we use your information

  • To run the app: storing your records, calculating totals, generating PDF documents and sharing them the way you choose.
  • To create and secure your account, verify your email address and help you reset your password.
  • To confirm and manage your subscription and apply the limits of your plan.
  • To provide optional features you turn on, such as WhatsApp automation and Quick Invoice, and to improve Quick Invoice from the corrections you make.
  • To send you service messages (for example email verification and password reset codes) and to answer your support requests.

We do not sell your information, and we do not use it for advertising.

Third-party services

  • Google Play Billing and the Apple App Store process subscription payments. Their own privacy policies govern the payment information you give them.
  • Google Sign-In and Sign in with Apple authenticate you if you choose them.
  • Meta WhatsApp Business Platform: WhatsApp automation is optional and off by default. If you connect your own WhatsApp Business account, invoice and quotation PDFs, your customer's name and WhatsApp number, and the message are sent to Meta to deliver the message. Any messaging charges are billed by Meta directly to your account. We store the connection details (phone number ID and access token) encrypted.
  • Your phone's speech recognition: if you speak a Quick Invoice instead of typing it, your phone's own speech service (on Android, usually Google's) turns your voice into text. InvoiceMate never receives or stores the audio, only the text you then review and submit.
  • Groq: if you use AI voice in Quick Invoice, your voice recording and a list of your customer and product names (so they are spelled correctly) are sent to Groq to be transcribed. We don't keep the recording; only the text comes back.
  • Firebase Cloud Messaging (Google): delivers push notifications to your phone. It receives the notification text and your phone's push token, not your business records.
  • Hosting and email: our servers and our email service are provided by our hosting provider, which processes data on our behalf.

We may also disclose information if the law requires it, or to protect the rights and safety of our users and of InvoiceMate.

Working as a team

A business owner can invite managers and salespeople to their business. Everyone in a business can see its team members' names, email addresses and roles. The owner and managers can see every invoice, quotation and payment in the business and who created it; a salesperson sees only the documents they created. If you leave or are removed from a business, the documents you created stay with that business.

Data storage and security

Your data is stored on servers we operate through our hosting provider. All traffic between the app and our servers is encrypted with HTTPS, sensitive credentials such as WhatsApp access tokens are encrypted at rest, and access to our systems is restricted. No system is perfectly secure, but we work to protect your information and will act promptly if a problem occurs.

Data retention and deletion

We keep your account and business data for as long as your account is active. You can edit or delete your customers, products, invoices and quotations in the app at any time, and delete your whole account and all of its data from More → Delete Account. If you no longer have the app, see our account deletion page.

Your rights

You can access and correct your information in the app. You can also ask us for a copy of your data, or ask us to correct or delete it, by emailing yasirmirza820@gmail.com from the email address on your account.

Children

InvoiceMate is a business tool. It is not directed at children under 13 and we do not knowingly collect information from them.

Changes to this policy

We may update this policy from time to time. We will change the “Last updated” date above and, for significant changes, let you know in the app.
